The WCGTC is required to process relevant personal data regarding members, conference participants, staff members, volunteers, applicants, and others who have provided information as part of the operation of the WCGTC. The WCGTC shall take all reasonable steps to do so in accordance with this Policy. This policy has been created in accordance to the General Data Protection Regulation (GDPR). The policy was approved by the WCGTC Executive Committee on May 29, 2018.

Who we are

The World Council for Gifted and Talented Children, Inc. (WCGTC) is a worldwide non-profit organization that provides advocacy and support for gifted children. The WCGTC is a diverse organization networking the globe with an active membership of educators, scholars, researchers, parents, and others interested in the development and education of gifted and talented children of all ages. The WCGTC consists of its Members, Executive Committee, Delegates from member countries, and a Headquarters that recently relocated to Western Kentucky University in Bowling Green, Kentucky.

What personal data we collect and why we collect it

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help with spam detection. An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Forum

The WCGTC website contains discussion forums to facilitate networking between members and conference attendees. Upon purchasing a product on the WCGTC, you will have the option to either be subscribed or removed from specific forums. Joining a forum will make your name, WCGTC username, and email address visible to all other forum subscribers. If you have a photo associated with your email address, this will also be available to other forum users. If at any time you wish to unsubscribe from a forum, please contact headquarters@world-gifted.org.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Forms

We collect data relevant for memberships and conference registrations. This includes contact information, name, among other details. You may download a copy of your personal data stored in our systems by clicking here.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address, and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year. If you have an account and you log into this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser. When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me,” your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website. These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracing your interaction with the embedded content if you have an account and are logged in to that website.

Analytics

We use Google Analytics to better understand how users interact with our website. Google has created an option for users to opt-out of their data being collected for these purposes. We also use the Jetpack plugin to provide view statistics (e.g. number of viewers, page views, location, etc.). Who we share your data with

Personal data relating to you collected on our website are destined for the WCGTC’s own use and may be forwarded to the WCGTC’s partner companies so that we may obtain assistance and support in the context of carrying out our services. The WCGTC ensures that it has in place clear data protection requirements for all of its third party providers.

The WCGTC does not sell or rent your personal data to third parties for marketing purposes whatsoever.

In addition, the WCGTC does not disclose your personal data to third parties, except if: (1) you  request or authorize disclosure thereof; (2) the disclosure is required to process transactions or supply services which you have requested (e.g. to update you on membership expiration or for the purposes of processing an acquisition card with credit-card issuing companies); (3) the WCGTC is compelled to do so by a government authority or a regulatory body, in the case of a court order, a summons to appear in court, or any other similar requisition from a government or the judiciary, or to establish or defend a legal application; or, (4) the third party is a subcontractor or sub-processor of the WCGTC in the carrying out of services (e.g. the WCGTC uses the services of an Internet provider or a telecommunications company).

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue. Additionally, any comments or personal information you post on the website forum will be retained indefinitely.

For users that register on our website, we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time. Website administrators can also see and edit that information.

Member and conference data are maintained for archival purposes of the organization.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes. The WCGTC will endeavor to respond to any such written requests as soon as is reasonably practical and, in any event, within 40 days for access to records.

Your data stored in our member database may be accessed by visiting https://world-gifted.org/amember/member. You may also request for your data to be deleted by visiting this page.

If the WCGTC Headquarters suspects a data breach, the Executive Administrator will notify the Executive Committee within 24 hours of discovery. The Executive Committee will approve a statement to be sent to all affected users.
